Business Continuity: Keeping Your Technology Safe

In today’s fast paced world, technology tools are the centerpiece of running day to day operations, for example, the constant use of computers and the phone system. Although this has proven to be convenient, efficient and beneficial in many aspects, storing crucial information has increased the difficulty and need for data protection. According to the Gulf Coast Back to Business Act (2007), congress reported 43 percent of businesses who closed due to a natural disaster will never reopen; perhaps this is due to the alarming fact that, 50 percent of businesses did not have a recovery plan in place.

With 65 percent of small businesses located in areas prone to disasters, the costs of an IT outage (an average of $12,000 per day for small businesses if computers are down) should be avoided and prepared for. Disasters do not discriminate, and will strike, regardless of whether or not a business has taken proper precautions. The impact on staff with loss of technology, and the costs of recreating lost data due to physical damage, server failure or a power outage are enormous and at times, Impossible.

Business Continuity
A business continuity plan is a strategy set to deal with larger system outages, ranging from a long term power outage to a natural disaster such as a hurricane, tornado, fire, theft or earthquake, which would cause substantial damage to an office. Business continuity has become less expensive and more obtainable for small businesses, as the flexibility provided with virtual servers allows for more infrastructure options at a significantly reduced cost.

A regularly tested, secure disaster recovery plan should be set for every company to ensure the best precautions, procedures and optimal results occur. It is key to continuously test backup and business continuity plans to ensure they are solid. Many companies have made the mistake of considering a plan adequate, only to have it fail once it is needed. Something as simple as an employee not granted the correct level of access could cause the failure of an otherwise flawless plan.

Protecting Phone Systems
Phones should always be considered when planning. In the event of a disaster phones would ring, and go without being answered. One option would be to have calls forwarded

Rating Engine
We have made improvements to the rating engine that increases the speed that the system is able to generate rates. There are other minor changes to the rating, but the speed improvement is the most noticeable enhancement. This is the first step in a continuing project to modernize the rating engine and make sure that it is the most advanced rating engine available.

Master the Art of Quoting Freight

Spot Quoting Freight is not an exact science, but it is an everyday task that most freight brokers do to cover their loads.  The process can be frustrating at times because of the amount of manual work it takes to get a load covered.

Trinnos Edge Spot Quoting Tools can help during the quoting process to alleviate some of the everyday struggles when it comes to covering a load.

Which carriers should I contact for a quote?

Usually it is helpful to check internal resources to find a carrier before posting the load to a load board.  With Trinnos Edge, freight brokers can search their historical shipment data whether it's a current shipment, previous shipment, previous truck quotes, and/or equipment posted to Trinnos Edge.

Another way to narrow down a list carriers is by using Trinnos Edge's filtering options.  By creating custom carrier groups, it allows freight brokers to narrow down their search for a carrier based on customizable attributes.

What is the best way to communicate with my carriers?

Probably the most common ways to get a quote on a lane is by calling the carrier or sen

Software Releases - December 2011

Trinnos Technology is continuously working to improve and update our system. Below are the latest software updates that were released into the Trinnos Edge application. Feel free to contact our Technical Solutions Team at (877) 207-6379 with any additional questions.

Accounting Integration
We have made further improvements to the accounting integration adding to the work that has been done over the last 4 months. This update includes changes to the database that make the accounting integration more stable and more flexibility. We have also addressed the remaining known issues with the integration.
Some of the noticeable changes are with the performance of the synchronization process especially during the payment processing.
We have also added some new settings that allow for customization of the way accruals and revisions are processed. These updates will allow the accrual and revision dates to be changed to help make the accounting integration more in line with specific accounting methods.
Another important update is the addition of a historical audit trail. We have added functionality to track the date and amount of changes that have been sent to the accounting application. The accounting audit log will help in the event that there are any issues regarding the data that has been sent to the accounting system.

Security Within The Cloud

Stability and Reliability

In plain English (rather than technical language) Trinnos Technology has a robust, regularly tested procedure in place to provide both continued service and reliable data protection. In order for our Data Center to have a problem we would need a disaster larger than Hurricane Katrina directly at the facility.

The Specifics

Trinnos Technology has redundant servers with automatic failover on the Database, Application Servers, and Support Servers. Our hardware infrastructure has no single point of failure out to the public internet.  Our infrastructure includes cutting edge load balancers, firewalls and servers. These tools make sure that our network is constantly running safely and securely.

Our servers are located in a Tier 1 Data Center in Virginia. We also have 24/7 monitoring of key services for each server. This ensures that that we know of any issues as they arise and that the servers are able to automatically disable or restart failing applications.

All our servers run the latest version of the Windows Server and our database resides on the latest version of Microsoft SQL Server. We have built and run our application on .NET 4.0 allowing us to leverage the most cutting edge technologies available.

Backups are done nightly and are sent to offsite encrypted locations. We backup both the database and application files. This ensures we always have data that is no more than 24 hour old. We also save past revisions for no less than two weeks. Most importantly we test our backups every two months. Testing to ensure backups are being done correctly is the most critical aspect of the backup process.
